To increase the clarity and transparency of settlements, eBay will start issuing separate credit notes for all fees charged to sellers, charges, and tax refunds in the EU from October 31, 2025. Each credit note will clearly indicate credit amounts and references to the original invoice.
What is a credit note?
A credit note is a tax document that reduces or cancels all or part of a current or previous invoice. It confirms that a specific amount - e.g., a fee refund, overpayment, or refund - has been credited to your account.
Like an invoice, an eBay credit note is an official accounting and tax document. It should be kept in the accounting records and treated as a separate document supplementing the original invoice.
Together, the invoice and credit note constitute a complete record of your transactions, making VAT settlement and bookkeeping easier.
Why are we making this change?
This update:
- Increases transparency and makes it easier to match fees to their refunds.
- Aligns the eBay invoicing process with market best practices.
We aim to make settlements clearer, more transparent, and easier to manage for sellers.
How to access credit notes
From November 1, 2025, credit notes will be available in the same location as invoices – in the form of:
- a PDF summary (for a quick overview),
- a CSV file (with detailed transaction information).
You can download them from the Seller Hub or the My eBay page:
- Go to the Seller Hub > Payments (or My eBay > Payments).
- Select Reports.
- Open the Invoices tab.
- You will see a list of available credit notes next to your monthly invoices.
- To download them, select Download Summary or Download Details.
